Who we are

This website is run by Kajans Women’s Enterprise Ltd, a company limited by guarantee registered in England and Wales (company number 05116738). Our registered office is The Albert Hall, Witton Road, Aston, Birmingham B6 5NU. In this policy, “Kajans”, “we” and “us” mean Kajans Women’s Enterprise Ltd.

We are responsible for the personal information described in this policy (we are its “data controller”). If you have any questions about it, please get in touch using the details at the end of this page.

The information we collect

Our website has no sign-up or contact forms, and we do not use it to track you. We only receive personal information when you choose to give it to us, for example when you:

  • email or phone us with a question or enquiry;
  • make a venue hire enquiry or booking;
  • apply for a job or volunteering role by sending us your CV and supporting statement;
  • register for one of our events, such as our AGM;
  • take part in our programmes, activities or services.

Depending on why you contact us, this may include your name, contact details, the content of your message, details of your event or booking and, for job applications, your work history, qualifications and anything else you choose to include.

When you visit our website, our hosting provider automatically records technical information such as your IP address, browser type and the pages you request. This is used to keep the website running and secure.

How we use your information

  • to reply to your enquiries and give you the information you ask for;
  • to arrange and manage venue hire, events and activities;
  • to consider your application for a job or volunteering role;
  • to keep the records we need for our work and to meet our legal obligations;
  • to keep our website secure and working properly.

We will never sell your personal information.

Our lawful basis

Under UK data protection law we must have a lawful basis for using personal information. We rely on:

  • Legitimate interests – to respond to enquiries, run our activities and keep our website secure, where this does not override your rights;
  • Contract – where we need your information to provide something you have asked for, such as a venue booking;

  • Consent – where we ask for your permission, for example to keep in touch about future opportunities. You can withdraw your consent at any time.

Who we share it with

We only share your information when we need to, for example with:

  • organisations that provide services to us, such as our website host and email provider, who may only use it on our instructions;
  • funders, usually in an anonymised form, where we need to report on the programmes they support;
  • regulators, the police or other authorities, where the law requires it.

Services used on our website

Some parts of this website are provided by other organisations. When your browser loads them, they receive your IP address and basic technical information about your device:

  • Google – fonts and a code library used on every page, and the map on our Contact page, if you choose to show it;
  • YouTube (owned by Google) – our videos, which play in YouTube’s privacy-enhanced mode and only load when you choose to play one;
  • jsDelivr and unpkg – services that supply some of the code our pages need.

These organisations have their own privacy policies, and some may process information outside the UK. Where information is processed outside the UK, it should be protected by appropriate safeguards, such as UK adequacy regulations or approved contract terms. Our Cookie Policy explains the cookies some of them may set.

How long we keep it

We keep personal information only for as long as we need it for the purpose we collected it, or for as long as the law requires. For example:

  • general enquiries – up to two years after we last heard from you;
  • job applications that are not successful – six months after the recruitment ends;
  • financial and booking records – six years, for accounting and tax purposes.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to limit or stop using your information;
  • ask us to pass your information to another organisation;
  • withdraw your consent at any time, where we rely on consent.

Keeping your information safe

We take appropriate steps to protect personal information from loss, misuse and unauthorised access. Our website uses a secure, encrypted (HTTPS) connection.

Complaints

If you are unhappy with how we have handled your information, please contact us first so that we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
